POSITION SUMMARY:
Responsible for sorting and processing of all incoming and out-going mail, shipments, supplies, special projects, switchboard coverage, and prep and scan mail through the imaging system.
This position is based out of our beautiful West Creek Office, located at 12580 West Creek Parkway, Richmond, VA 23238.
Schedule: Monday-Friday 7:00am - 3:30pm, schedule supports a 37.5 hr work week
Primary Duties
- Sort morning mail for claims department Sort and prep mail for scanning from various departments
- Purge mail and prepare for shredding per Retention Policy
- Pull CW agent mail 2 times a week
- Sort and file mail for CW Agents into approximately 600 folders
- Open sort all incoming mail and send to various departments
- Deliver department mail two times daily
- Prepare and ship Agent supply orders
- Inventory and order Agent supplies
- Run mail machine for outgoing mail by department
- Scan incoming packages and deliver throughout the day from various couriers
- Scan all documents
- Prioritize and maintain control of incoming mail from Claims, Policy Services, UW, CWUW and CW Claims
- Backscan as needed
- Keep CW agent folders/spreadsheet updated with new addresses and names. Create new folders when needed
- Maintain documents per Document Retention Policy
- Prepare UPS & FEDEX Pick-ups
Additional Duties
- Back up to the switchboard and Purchasing
- Maintain scanning and mailing equipment
- All other duties assigned by Mail Services Manager
Min Education/ Experience Qualifications
- High school diploma or equivalent
- Previous clerical/administrative support experience
Min Skill Qualifications
- Excellent attention to detail
- Excellent customer service skills
- Excellent oral and written communication skills
- Dependable and reliable
- Proficient in MS Office
- Able to lift 50 lbs. on a regular basis

- Previous imaging experience
- Previous mail experience
- Previous document management experience
