Position Summary

Virginia Farm Bureau is looking for a Switchboard Operator & Imaging Technician. This position is responsible for answering and directing calls in a professional, pleasant, and timely manner. Greet and direct visitors when they arrive at our home office. Responsibilities also include sorting and distributing mail and packages and scanning documents through the imaging system.

Location

This position is based out of our beautiful West Creek Office, in Richmond, VA.

Schedule: Monday-Friday 8:00am - 4:30pm, schedule supports a 37.5 hr work week

Primary Duties

• Answers switchboard promptly and courteously
• Directs callers to the appropriate resource for assistance
• Able to handle problems and in-coming calls professionally
• Greet visitors and employees pleasantly, distribute visitor badges
• Sort and prep mail for scanning from various departments
• Scan all documents
• Prioritize and maintain control of incoming mail from Claims, Policy Services, UW, CWUW and CW Claims
• Backscan as needed
• Sort morning mail for claims department
• Maintain documents per Document Retention Policy
• Purge mail and prepare for shredding per Retention Policy
• Sort and file mail for CW Agents into approximately 600 folders
• Pull CW agent mail once weekly
• Monitor and distribute stamps and movie tickets, tally, and balance monthly
• Enter Payroll Deductions into the system
• Monitor Cameras for visitors, vendors, etc.
• Backup for distributing packages and mail

Additional Duties

• Assist departments with special projects as needed
• All other duties assigned by Mail Services Manager

Min Education/Experience Qualifications

• High school diploma or equivalent

Min Skill Qualifications

• Exceptional phone etiquette and customer service skills
• Excellent oral and written communications
• Proficient in MS office
• Team player
• Able to lift 50 lbs. on a regular basis

Preferred Qualifications

• Knowledge of Cisco Console switchboard software
• Minimum 1 to 2 years switchboard experience
• Previous Imaging experience
